Please review these terms carefully before confirming your booking.

Booking Agreement

Baobab Safari Adventure (herein referred to as “the company”) operates as a tour operator and provider of travel and tourism-related services. These services include, but are not limited to, wildlife safaris, mountain trekking, cultural experiences, destination tours, accommodation arrangements, transportation services, and other travel-related activities through our trusted partners, suppliers, hotels, and service providers.

The term “booking” refers to the purchase of any safari package, tour, activity, accommodation, or travel service offered by Baobab Safari Adventure through our website, representatives, or partner networks.

A booking becomes binding once Baobab Safari Adventure issues a written confirmation to the email address provided by the customer. This confirmation serves as the official agreement between the customer and the company.

Customers are required to carefully review the confirmation details to ensure that all services, dates, destinations, and arrangements match their requirements. Any errors, changes, or requests must be communicated immediately after receiving the confirmation.

Payment of the booking deposit confirms acceptance of these Terms and Conditions. We recommend that customers print and keep a copy of their booking confirmation throughout their journey.

Bookings with Baobab Safari Adventure are available only to individuals aged 18 years or older. Additional age restrictions may apply depending on specific activities or supplier requirements.

Local Fees and Taxes

Government fees, conservation charges, national park entry fees, camping fees, and other regulated charges in Tanzania may change without prior notice. Baobab Safari Adventure reserves the right to pass any additional costs resulting from government or authority changes to the customer.

Payment Terms and Cancellation Policy

Once a customer confirms a booking, Baobab Safari Adventure will issue an invoice containing all safari details and payment instructions.

To secure a reservation, a 50% deposit of the total safari cost is required. Payment can be made through bank transfer, wire transfer, or other approved payment methods.

The remaining balance must be paid before the beginning of the safari. The final payment can be completed in cash at the start of the safari or through bank transfer at least seven (7) days before departure.

For payments made through credit card or PayPal, customers are responsible for covering applicable transaction and processing fees charged to Baobab Safari Adventure.

Activities and Cancellation

If a customer cancels a booking partially or completely, cancellation charges will apply as follows:

  • Cancellation less than 72 hours before departure: 100% charge.
  • Cancellation between 72 hours and 7 days before departure: 75% charge.
  • Cancellation between 7 and 30 days before departure: 50% charge.
  • Cancellation 31 days or more before departure: No cancellation fee.

To request cancellation, customers must send a written email notification to Baobab Safari Adventure.

No-shows: Guests who fail to arrive at the agreed meeting point or arrive after the scheduled departure time will be charged 100% of the booking cost.

Baobab Safari Adventure reserves the right to resell cancelled or unused safari spaces, permits, accommodation, or activities.

Any requested changes to confirmed itineraries, travel dates, or safari arrangements will be considered depending on availability. A modification fee may apply.

Alcohol and Drugs

Guests who are under the influence of alcohol or illegal substances may be refused participation in safari activities without entitlement to a refund.

Any guest whose behavior affects the safety or enjoyment of others may be removed from the safari or activity. Additional transportation costs and damages caused by inappropriate behavior will be the responsibility of the guest.

Right to Termination or Changes by Suppliers and Operators

Certain circumstances beyond the control of Baobab Safari Adventure, including extreme weather conditions, road conditions, technical problems, government restrictions, strikes, or other force majeure events, may require changes, delays, or cancellations of planned services.

Customers will be informed as soon as possible if such situations occur.

Where alternative arrangements cannot be accepted by the customer, refunds will be processed after confirmation from the relevant supplier or service provider.

Travel Insurance

Travel insurance is a mandatory requirement for all customers booking with Baobab Safari Adventure.

Customers must obtain suitable travel and medical insurance covering the entire duration of their trip. Insurance should include:

  • Medical expenses and emergency treatment.
  • Emergency evacuation and repatriation.
  • Safari cancellation or interruption.
  • Loss, theft, or damage of personal belongings.

Customers are responsible for ensuring that their insurance coverage is valid and adequate for their travel needs.

Shortcomings

A shortcoming refers to a situation where the service provided significantly differs from the confirmed booking or where important information was not properly communicated.

The following situations are not considered shortcomings:

  • Minor delays during transportation.
  • Changes caused by weather conditions.
  • Natural wildlife behavior and unpredictable animal sightings.
  • Customer negligence or failure to follow safari guidelines.
  • Failure to follow instructions provided by guides or company representatives.

Baobab Safari Adventure will always make reasonable efforts to resolve any concerns brought to our attention.

Modifications and Errors

Information published on the Baobab Safari Adventure website may occasionally contain errors or outdated details. The company reserves the right to update, correct, or modify information, prices, and services without prior notice.

Documentation

Customers must carefully review booking confirmations, invoices, and travel documents after receiving them.

Any incorrect information must be reported immediately. Baobab Safari Adventure cannot accept responsibility for errors that are not reported within 14 days after document issuance.

Any costs resulting from customer-provided incorrect information will be the responsibility of the traveler.

Passports and Visas

Customers are responsible for ensuring they have valid passports, visas, and travel documents required for entry into Tanzania and other destinations included in their itinerary.

Passports should normally have at least six months of validity beyond the travel period.

Baobab Safari Adventure is not responsible for visa delays, rejection, or additional costs resulting from immigration requirements.

Medical Conditions and Disabilities

Customers must inform Baobab Safari Adventure before booking if they have any medical conditions, disabilities, or special requirements that may affect their safari experience.

Providing accurate information allows the company to recommend suitable arrangements and ensure customer safety.

Baobab Safari Adventure reserves the right to decline bookings where specific needs cannot reasonably be accommodated.

Our Responsibilities

Baobab Safari Adventure is committed to providing safari experiences as described in confirmed booking agreements and ensuring services meet reasonable local standards.

Customers should understand that travel conditions in Tanzania may differ from those in developed countries. Temporary challenges such as power interruptions, limited water supply, road conditions, or communication limitations may occur.

Baobab Safari Adventure cannot be held responsible for:

  1. Actions, negligence, or behavior of customers or members of their group.
  2. Events caused by third parties outside the company’s control.
  3. Circumstances caused by force majeure events.
  4. Services provided independently by third-party suppliers.

The company accepts responsibility for negligence caused by its employees, representatives, and direct service providers where applicable.

Accommodation providers, airlines, transport companies, and other suppliers may have their own terms and conditions that apply to their services.

Questions and Complaints Regarding Your Booking

For questions or complaints before departure, customers should contact Baobab Safari Adventure through official communication channels.

If a problem occurs during the safari, customers should immediately inform their guide or company representative so that reasonable solutions can be provided.

Any complaints after completion of the safari should be submitted within 30 days and must include booking details and relevant information.
